This page explains how cancellation, change, waiting time and rescheduling requests are reviewed for transfer and chauffeur-driven transportation services submitted to Karakus Travel.
Reservation and operation processes are reviewed manually based on route, date, time, passenger count, luggage details, flight information, suitable vehicle planning and operational availability.
1. General Approach
Cancellation and change requests are not handled through automatic fixed rules. They are reviewed manually according to the request details and operational status. Each request is evaluated based on the time remaining before the service, vehicle and driver planning, route, waiting needs, city or intercity service type and the current operation flow.
2. Cancellations Before Operation Starts
Cancellation requests made before operation planning starts, or when there is sufficient time before the service, are reviewed as flexibly as possible. In such cases, Karakus Travel tries to offer a suitable solution depending on the request status.
3. Cancellations Close to Service Time
For cancellation requests made close to the service time, vehicle and driver planning may already have started. For this reason, last-minute cancellations are reviewed separately according to operational status. If the service time is very close or vehicle planning has already been arranged, pricing or availability may need to be reviewed again.
4. Time Changes
Time change requests are reviewed according to availability and the operation plan. If vehicle and driver planning is not available for the newly requested time, a different time may be suggested, rescheduling may be required or the price information may be updated.
5. Route Changes
If the pickup point, drop-off point, route, extra stop or intercity distance changes, pricing may be reviewed again. Route changes may affect pricing depending on distance, duration, traffic, bridge/highway tolls, waiting needs and suitable vehicle planning.
6. Flight Delays and Early Arrivals
If flight information is shared in advance, delays or early arrivals are followed according to operational availability. Flight delay, early arrival, terminal change or delays during passenger exit may require waiting, time adjustment or rescheduling. These situations are reviewed according to the operation plan.
7. If the Customer Cannot Be Reached
If the customer cannot be reached at the pickup point, shares an incorrect location, is not present at the stated pickup point or cannot be contacted, the operation plan may be affected. Such situations are reviewed separately in terms of waiting, rescheduling or considering the service as cancelled.
8. Waiting Time
A certain waiting time may apply for airport, hotel, residence or city pickups. If the waiting time is exceeded, additional charges, time adjustment, rescheduling or another suitable solution may be required depending on operational availability.
9. Intercity Transfers
For intercity transfers, vehicle and driver planning is usually arranged for a longer period, so cancellation and change requests are reviewed more carefully. Changes to route, time, waiting, return plan or passenger/luggage details may affect pricing and availability.
10. Special Events and Group Transfers
For weddings, events, group transfers or requests requiring special vehicle planning, changes are reviewed according to the operation plan. Changes in time, route, waiting or vehicle needs for such requests may affect pricing and availability.
11. Weather, Traffic and Force Majeure
Adverse weather conditions, heavy traffic, road closures, security measures, official restrictions or similar force majeure situations may cause route, time or service-plan changes. In such cases, Karakus Travel tries to arrange the most suitable rescheduling possible. Delay, route change or time adjustment may be required.
